Roles & Permissions allow you to control exactly what each staff member can see and do within Droptop. Instead of giving every employee full access to your account, you can create roles that match each person's responsibilities.
Whether you have a single location or multiple operations, properly configuring roles helps:
- Protect sensitive financial and business information.
- Prevent accidental changes to company settings.
- Limit access to inventory, reporting, and customer information.
- Ensure employees only have access to the tools they need.
- Create a consistent onboarding process for new staff.
Every staff member is assigned a role, and every role contains a collection of permissions that determine what pages they can access and what actions they can perform throughout Droptop.
Accessing Roles & Permissions
- Log into your Droptop account.
- Select Account Settings from the left navigation menu.
- Select Company from the top navigation.
- Click Roles & Permissions.
This page allows you to create new roles, edit existing roles, assign permissions, and manage how staff members interact with Droptop.
Roles & Permissions Information and Rules
Every role in Droptop is assigned a Role Level between 100 and 400. Role Levels determine where a role sits within your company's hierarchy and unlock certain built-in system capabilities that cannot be modified through permissions alone.
Default Roles
Droptop includes four default roles.
Role | Level | Purpose |
Technician | 100 | Day-to-day servicing of vehicles with limited administrative access. |
Manager | 200 | Shop management with access to operational settings and staff management. |
Owner | 300 | Advanced business management with access to most administrative features. |
Company (Super Admin) | 400 | Full unrestricted access to every area of Droptop. |
Important Rules
- There can only ever be one Company (Super Admin) account.
- Changes made to a role's permissions immediately sign out every user currently assigned to that role so their updated permissions can take effect.
- Custom roles cannot be deleted while users are still assigned to them.
- Permissions determine what a user can access, while Role Levels control several built-in system capabilities that cannot be overridden.
Permission Types
Permissions are grouped into six action types.
Permission Type | Description |
Access | Allows a user to open or use a page or feature. |
Add | Allows the creation of new records. |
Edit | Allows modification of existing records. |
Delete | Allows permanent removal of records. |
View | Provides read-only access without allowing changes. |
Export | Allows information to be exported from Droptop. |
Role Level Behaviours
Some functionality is automatically enabled based on a role's level.
Level 100 Roles
- Access to a limited set of reports.
- Cannot add technicians to an order after it has been finalized.
- Cannot manually update a failed 360 Payment status.
Levels 100-200
- Can clock in and out.
- Can have an hourly wage and compensation type assigned.
Levels 200-400
- Can assign staff to the No Position servicing position if desired.
Levels 300 and Above
- Can select all inventory items at an operation simultaneously.
- Can view Stripe Payouts within Payment Manager.
- Can finalize Auto Integrate orders that contain errors or require manual intervention.
Operation Access
Many permissions throughout Droptop are still limited by a user's assigned operations.
For example, a Manager with access only to Downtown Location cannot edit inventory for North Location, even if they have Inventory permissions enabled.
Permissions labeled “Ignore User Operation Access” bypass this restriction and allow company-wide access regardless of which operations the user has been assigned.
Creating a New Role
Custom roles allow you to tailor Droptop to fit the responsibilities of your team.
Common examples include:
- Assistant Manager
- Inventory Manager
- Office Administrator
- Accountant
- Marketing Coordinator
- Customer Service Representative
To create a new role:
- Click + New Role.
- Choose Copy Existing Role to duplicate an existing role and modify its permissions, or Start from Clean Slate to create an entirely new role with no permissions enabled.
- Enter a role name.
- Assign the appropriate Role Level.
- Configure the permissions required for that role.
- Save your changes.
- Assign staff members to the new role from the Staff page.
Starting from an existing role is recommended for most businesses, as it significantly reduces setup time.
Understanding Permissions
Permissions throughout Droptop are grouped into categories. Each permission controls access to a specific page or action within the system. Every category and permission available in Droptop is listed below.

Account Credits | Add Credits to Customer/Fleet Profiles | Allows users to add account credits to customer and fleet profiles. Credits can be redeemed toward the balance of a future order and are commonly used for customer goodwill, promotions, refunds, or prepaid service balances. |
Adjust Credits on Customer/Fleet Profiles | Allows users to increase or decrease existing customer or fleet account credits. This includes modifying credits after they've already been issued, so it should generally be limited to trusted staff. | |
Account Settings | Access Account Settings Page | Allows the user to access the Account Settings page of Droptop. With this permission turned off, the entire Account Settings menu is hidden, regardless of any other permissions assigned within it. |
API | Access API Page | Allows the user to access the API page within the Account Settings, where API credentials and documentation are stored. If you'd like access to the Droptop API, reach out to Droptop for pricing and credentials. |
NEW * Auto Integrate | * NEW * Access Auto Integrate Configuration | Allows the user to access Auto Integrate configuration settings on services, packages, casual items, inspection groups, and inventory products. Auto Integrate connects these records to external systems, so this permission controls who can view and adjust how that integration behaves. |
Bay Screen | Access Edit Button From Bay Screen Order Card | Allows the user to see and use the edit order invoice button directly from an order card on the Bay Screen, without needing to open the full order. |
Access ONLY the Bay Screen and No Other Pages | Restricts the user to the Bay Screen only; every other page in Droptop is hidden. This is useful for shop TVs/displays or dedicated Bay Screen workstations where you don't want general account access. | |
Brands | Access Brands Page | Allows the user access to the brand profiles page, where brands can be added, edited, and deleted. This is located within the Inventory page. |
Add Brand Profiles | Allows the user to add a new brand to Inventory and specify which items are associated with that brand. | |
Delete Brand Profiles | Allows the user to permanently delete any brands that have been created. | |
Edit Brand Profiles | Allows the user to edit a brand's name, description, or enter in contact information. | |
View Brand Profiles | Allows the user read-only access to Brands; they will not be able to make any changes to them. | |
Casual Items | Access “Other” Casual Item Option | Allows the user access to the “Other” casual item option in the casual item selection list. With this enabled, you may create one-off casual item for an order without adding it permanently to the dropdown list. This is useful for Items you don't normally stock or have unpredictable prices. |
Company | Access Company Page | Allows the user access to the Company page within Account Settings. This is a prerequisite for every other Company-related permission listed below - without it, none of those pages will be reachable even if individually enabled. |
Access Billing Accounts Page | Allows access to the billing accounts page. Users with this permission can only open an individual billing account if they also have access to all operations tied to that billing account. | |
NEW * Access Company Audit Log Page | Allows the user to access the company audit log page, which records a history of changes made throughout the account — such as edits to settings, permissions, or records — useful for tracking who made a change and when. | |
Access Company Casual Items Page | Allows access to the company casual items page, where company-wide casual item options are managed. This section does not specify prices for these Items but rather the options available for selection on an invoice. | |
Access Company Classifications Page | Allows access to the company classifications page, used to manage classification categories applied across operations. | |
Access Company Financial Categories Page | Allows access to the company financial categories page, used to manage the financial categories that products and services can be grouped under. | |

Access Company Invoice Notes Page | Allows access to the company invoice notes page, where standard notes that can appear on invoices are managed. | |

Count Sheet | Access Count Sheets Page | Allows access to the count sheets page (Account Settings > Count Sheets), used for performing and tracking inventory counts. |
Coupons | Access Coupons Page | Allows access to the coupon page within Account Settings. |
Add Coupon Profiles | Allows the user to create new coupons, specifying single or unlimited use, new-customer vs. all-customer eligibility, expiry dates, eligible packages, and discount amount. | |

Customers | Add/Edit Customer Profile Credit Limit Field | Allows the user to add or edit the credit limit field inside a customer's profile, capping how much they can carry on account. |
Add/Edit Customer Profile Discount Field | Allows the user to add or edit the discount field inside a customer's profile, specified as either a percentage or a set dollar amount. | |
Add/Edit Customer Profile Location Tax Field | Allows the user to add or edit the “Customer Tax Rate” field inside a customer's profile, which taxes the customer based on their location instead of the default tax rate. This is mainly used for mobile operations. | |
Add/Edit Customer Profile Payment Terms Field | Allows the user to add or edit the payment terms field, expressed in number of days, which governs when a customer's invoice is due. | |

Best Practices
Grant the Least Amount of Access Required
Only enable the permissions staff members require to perform their daily responsibilities.
For example, technicians generally do not require access to financial reporting, billing settings, or company configuration pages.
Create Roles Around Responsibilities
Rather than giving every manager identical access, consider creating specialized roles such as:
- Service Manager
- Inventory Manager
- Office Manager
- Accounting
- Marketing
Each role can expose only the pages necessary for that position.
Review Permissions Regularly
Whenever an employee changes positions or responsibilities, review their assigned role to ensure they still have the appropriate access.
